Cancellation & Refund Policy

At Trocals, we create immersive experiences in collaboration with local communities, hosts, guides, hotels, and transportation partners. Many of these arrangements are confirmed and paid for well in advance. As a result, cancellations may incur charges depending on the timing of the request and the services already secured on your behalf.
1. Cancellation by the Traveller
All cancellation requests must be submitted in writing via email to hello@trocals.com.
The following cancellation charges will apply:
Day Tours & Experiences
- More than 72 hours before the experience: Full refund
- 48–72 hours before the experience: 75% refund
- 24–48 hours before the experience: 50% refund
- Less than 24 hours before the experience: No refund
- No-show: No refund
Multi-Day Tours & Custom Journeys
- 45 days or more before departure: Full refund minus any non-refundable third-party charges
- 30–44 days before departure: 75% refund
- 15–29 days before departure: 50% refund
- 7–14 days before departure: 25% refund
- Less than 7 days before departure: No refund
- No-show: No refund
2. Non-Refundable Components
Certain services may be non-refundable regardless of the cancellation date, including but not limited to:
- Flights and train tickets
- Visa fees
- Travel insurance
- Special permits
- Festival and event tickets
- Luxury accommodations with strict cancellation terms
- Services specifically identified as non-refundable at the time of booking
Any such charges will be communicated before confirmation.
3. Changes & Rescheduling
Where possible, Trocals will attempt to accommodate date changes or itinerary modifications.
- Changes are subject to availability.
- Any additional costs imposed by suppliers will be borne by the traveller.
- Modification requests made close to departure may be treated as cancellations and rebookings.
4. Cancellation by Trocals
In rare situations, Trocals may cancel an experience or tour due to:
- Safety concerns
- Natural disasters
- Political unrest
- Government restrictions
- Insufficient participation
- Circumstances beyond our reasonable control
In such cases, travellers will be offered one of the following:
- An alternative experience or departure date
- A travel credit valid for 12 months
- A refund of the amount paid for services not delivered
Trocals shall not be responsible for incidental expenses incurred by travellers, including airfare, visa costs, travel insurance, or personal arrangements unless otherwise required by law.
5. Force Majeure
Trocals shall not be liable for delays, alterations, or cancellations arising from events beyond our reasonable control, including but not limited to:
- Natural disasters
- Epidemics or pandemics
- War or civil unrest
- Government actions or travel advisories
- Transportation disruptions
- Extreme weather events
Refunds, credits, or alternative arrangements in such circumstances will be determined based on recoverable amounts from our suppliers and partners.
6. Refund Processing
Approved refunds will be processed to the original payment method.
- Domestic refunds: Within 7–10 business days
- International refunds: Within 14–21 business days
Processing times may vary depending on banks and payment providers.
7. Travel Insurance
We strongly recommend that all travellers purchase comprehensive travel insurance covering:
- Trip cancellation
- Medical emergencies
- Travel delays
- Lost baggage
- Personal liability
Travel insurance may help recover costs that are not refundable under this policy.
